Why WhatsApp rather than email
In South Asia and the Gulf, customers read WhatsApp and ignore email. An invoice sent by email often goes unanswered; the same invoice on WhatsApp is usually read within minutes.
The same is true of the messages that actually collect money — travel reminders and polite payment follow-ups. Delivery is the whole battle, and WhatsApp wins it.
Two ways to connect, and who each suits
The first is to link the agency's existing WhatsApp number. Customers see the number they already know, and there is no per-message cost. For a small or mid-sized agency this is almost always the right answer.
The second is the official WhatsApp Business API. It brings the verified badge, several staff answering at once, and higher sending limits — but it needs Meta's approval and charges per conversation.
The two are not a permanent choice. A system worth buying lets you start on your own number and move to the API later without losing your history.
What should send itself
Ticket and invoice on issue. Receipt on payment. A reminder before travel. A follow-up when an invoice passes its due date.
Each message's wording should be editable by the agency. Automation that forces someone else's tone onto your customers gets switched off within a week.
The mistake that costs you the number
Bulk-messaging people who have never contacted you is the fastest way to get a WhatsApp number banned, and the ban takes the agency's main line with it.
Transactional messages — tickets, invoices, receipts — are not the risk, because the recipient is expecting them. Promotional blasts to bought lists are. Keep marketing to customers who have messaged you before, and the risk goes away.
