How GDS Ticket Auto-Capture Works (Galileo, Sabre, Amadeus)

The problem it solves

In most agencies the ticket is issued in a GDS terminal and the accounts are kept somewhere else — a spreadsheet, a ledger, or another system entirely. The same booking therefore gets typed twice.

Twenty tickets a day means twenty PNRs, passenger names, routes, fares and tax breakdowns entered by hand. It costs time, and it introduces the kind of error nobody notices until the month-end reconciliation refuses to balance.

What auto-capture actually is

A small program runs on the PC where the GDS terminal is used. The moment a ticket is issued, it reads that ticket and sends it to the system. Nobody copies anything.

What lands automatically: PNR, ticket number, passenger name, airline, routing, travel dates, base fare, the tax breakdown line by line, and the gross fare.

The important detail is that this is capture, not import. An overnight file import tells you yesterday's tickets. Capture means the invoice can go out while the customer is still on the phone.

How to tell real capture from a demo

Ask which GDSs are supported and whether they are all supported today. Many systems support one and describe the others as coming.

Ask what happens when the PC is switched off mid-day. A serious implementation queues what it captured and sends it when the machine comes back; a fragile one loses those tickets silently.

Ask whether it handles consolidator and Q Share tickets. That is where the fare the customer pays and the cost the agency incurs stop being the same number, and it is the case most demos avoid.

What changes downstream

Because the ticket arrives complete, the invoice exists immediately, and can be sent to the customer's WhatsApp within a minute of issue.

Month-end stops being a reconstruction exercise. Sales, profit per ticket and vendor payables are already correct, because they were never typed a second time.
